Follow the repetition

Start with a task your team performs frequently and can describe clearly: routing a new inquiry, copying a record between tools, preparing a recurring report, or collecting information for a handoff. Write down the inputs, decisions, exceptions, and outputs. If the process is unclear, automating it usually makes the confusion faster.

Separate rules from judgment

Some steps are deterministic: if a request belongs to a region, assign it to the corresponding team. Others involve interpretation, such as summarizing a conversation or categorizing an unusual request. Use conventional automation for clear rules. Introduce AI only where interpretation creates value, and retain review where a mistake would matter.

Set a small boundary

Choose one workflow, one owner, and one measurable outcome. Record the current time spent and the types of errors that occur. A focused pilot is easier to evaluate than an ambitious chain of integrations. It also gives the team space to learn how the new process behaves.

Design the failure path

Consider missing fields, duplicate events, expired permissions, unavailable APIs, and incorrect AI output. Decide when the workflow should retry, pause, alert a person, or fall back to a manual task. Good automation makes exceptions visible instead of quietly losing work.

Review access and data handling

Use only the information the workflow needs. Clarify which tools receive it, who can access it, and how long it is retained. Keep credentials out of shared documents and application code. Before scaling, confirm that the pilot actually improves the process and that someone is responsible for monitoring it.
